PIP Letter Template

A performance improvement plan has to be fair to be useful: gaps stated plainly, expectations measurable, support named, and a review date genuinely in the calendar.

This template produces exactly that, in a tone that assumes the person can succeed — which is the point of a plan rather than a notice.

HR Letter Builder

Generate employment verification, reference, termination, warning, salary increase, promotion, PIP and offer letters from one form.

Sets out expectations, support and the review date.

Fill the fields on the left. Anything marked required that is still empty means no letter is produced — that way nothing goes out with a placeholder in it.

Choose a letter type and fill in the fields.

These are standard templates in English, not legal advice. Termination and warning letters have legal requirements that differ by country — have them reviewed before you send them.

Frequently asked questions

How long should a PIP run?
Common practice is 30, 60 or 90 days depending on the role. Pick a period long enough to show real change, and put the review date in the letter.
Can the same template be used for misconduct?
No. Misconduct belongs in a disciplinary process, not a performance plan. Keep the two separate.
